Why standard templates matter
In most PMOs, every project manager formats their status report differently. That inconsistency makes it impossible to roll data up into a portfolio view, and it forces executives to re-read each report in a new layout. A standard set of PMO reporting templates fixes this by giving every project, programme and portfolio a shared vocabulary, common RAG definitions and a predictable cadence.
How to use the templates
Each worksheet is designed to be copied and reused. Fill in the project or portfolio name and reporting period at the top, then update the rows each week or month. The status fields use a simple Red / Amber / Green scale, and the headline section forces you to write a single sentence that summarises the most important message.
1. Project Status Report
Use this one-page weekly report for every active project. It captures overall status, a headline, and five key areas: schedule, budget, scope, risk and resources. The single headline is the most important field — it is what the portfolio reader uses to decide whether to open the detail.

2. Portfolio Dashboard
The portfolio dashboard consolidates every project status report into a single view. It shows phase, status, budget vs. forecast, open risks and the next gate. Use it in bi-weekly portfolio reviews to spot where attention is needed and to keep the conversation at the right altitude.
3. Executive Summary
This is the monthly or quarterly view for the C-suite. It strips out project detail and focuses on strategic confidence, trend, key metrics and the decisions executives need to make. It should never be more than two pages.
4. RAID Log
Keep one RAID log per project or programme. Separate risks, assumptions, issues and dependencies so each gets the right treatment. The owner field is critical — an item without an owner is an item that will not be closed.
5. Milestone Tracker
Track baseline date, forecast date and status for each major milestone. Comparing baseline to forecast highlights slippage early and protects the programme from late surprises.
Standardisation checklist
- Define RAG criteria in writing and share them with every project manager.
- Pick one day each week when project reports must be submitted.
- Limit project status reports to one page.
- Use the portfolio dashboard to trigger the portfolio review, not to read every detail.
- Keep the executive summary to strategic themes, metrics and decisions.
- Assign one owner to every RAID item and review open items weekly.
- Protect baseline dates in the milestone tracker so slippage is visible.
